Plumber invoice template

Free: 3 PDFs every 24 hours

A plumbing bill is easier to defend when the customer can see the visit, the labor, and the parts as separate lines. This page opens that invoice with a fictional kitchen shutoff repair already filled in. Replace every sample name, phone, and address before you download.

What goes on a plumber invoice

Put the business name that matches your license and the account you want paid, not a slogan that only appears on the van. The client name is who pays. If a property manager pays and the tenant only let you in, bill the manager and put the tenant name and unit number in the notes. The form has one street address. When the job site is not the billing address, write the job site in the notes in one sentence, including the city, so a later dispute does not depend on memory.

Use one line for labor. Hours go in the quantity and the hourly rate goes in the rate column. Use another line for materials and name the parts: angle stop, supply line, wax ring, cartridge. A third line is appropriate for a trip or diagnostic charge only if you actually bill one. Do not fold parts into the labor line. When a fixture fails after the repair, both of you need to know which part was sold. If you took a deposit, enter it as amount paid. The PDF prints the balance due.

The editor on this page is the same one as the homepage. Basic downloads are free within a rolling 24-hour allowance: 3 PDFs, then the button stops until a slot is 24 hours old. It is not a midnight reset. Professional and Modern are a different drawing of the same invoice for $4.99 once. They do not add a customer list, reminders, or online card collection.

Required fields and payment terms

The download stays blocked until the business name, the client name, and one line with a description and an amount over zero are filled in. Everything else is optional in the software and still matters on a real bill. Invoice number, invoice date, and due date should agree with the payment-terms sentence. "Due on completion" is a different promise from "Net 30." If you mean 30 days, set the due date 30 days out and say that in the terms box. Payment instructions should say how to pay: check, card on site, or transfer. Do not print a full bank account number on a PDF you will email unless you already share that account with this customer.

If your state or city requires a contractor license number on customer bills, type it in the tax or registration ID field. This PDF prints that field. It does not know your city's rule, and this page does not list state license rules.

Common mistakes

Sending the sample unchanged, so a fictional business name goes out as yours. Combining a multi-hour job and a stack of parts into one round number. Forgetting a deposit, so the customer is asked for the full price twice. Using the quote number as the invoice number, which makes two documents look like one. Leaving the tax field at zero in a place that taxes parts, or taxing labor where it is not taxed. This page does not state sales-tax rules. Promising a warranty in the notes that you cannot honor. A warranty sentence is your promise, not a feature of the file.

After you download, open the PDF. Confirm the parts description wrapped in full, the tax ID is visible if you entered one, and the balance due matches what you still expect to collect. The fourth Basic download in a rolling 24-hour window is refused. The page says so before you click, and it offers the $4.99 layouts if you need another file immediately.
