Cleaning invoice template
Free: 3 PDFs every 24 hours
A cleaning invoice should say which visit it covers, what was included, and what was extra. Recurring work is where vague bills cause the most arguments, because last Thursday and this Thursday look the same unless the date and the scope are written down.
What goes on a cleaning invoice
Use the client name of the person or company that pays. The service address is often the client's home. If you bill a property manager for several units, put the unit or the building in the line description so the manager can match the visit. One line can be the standard clean, with the rooms named: kitchen, two bathrooms, floors. A second line is the add-on the customer approved, such as the inside of the oven or the inside of the fridge. Supplies that are included in the rate should say so on the line. Supplies you bill extra should be their own line.
The invoice date should be the visit date unless you bill weekly in arrears. If you bill a week of visits on one PDF, list each date in the line descriptions or the notes. A single "cleaning services" line with no date is how a customer disputes a visit they think was skipped. Recurring clients still need a new invoice number every time. Reusing INV-100 makes your own records, and theirs, impossible to search.
The editor on this page is the same one as the homepage. Basic downloads are free within a rolling 24-hour allowance: 3 PDFs, then the button stops until a slot is 24 hours old. It is not a midnight reset. Professional and Modern are a different drawing of the same invoice for $4.99 once. They do not add a customer list, reminders, or online card collection.
Required fields and payment terms
The form will not download until it has a business name, a client name, and one line with an amount over zero. Payment terms for cleaning are often "due on the day of service" rather than net 30. Write the one you mean, and set the due date to the same day if you expect to be paid before you leave. If you keep a card on file, say that in the payment instructions without printing the card number. The amount-paid box is for a deposit or a credit, not for the price of the clean.
Notes are the right place for a cancellation sentence you already agreed, such as a fee when the cleaner cannot get in. Do not invent a cancellation policy in the PDF that you never told the customer. The notes print in full. They are not a contract template and they are not legal advice.
Common mistakes
Sending one monthly total with no dates, then being unable to show which weeks were worked. Charging an add-on that was not approved and burying it in the base rate. Leaving the sample business name in place. Forgetting that a team of two is either double the hours or a higher rate, and writing neither, so the math does not match the visit. Putting a tip line on the invoice and treating it as tax. This tool calculates one tax percent on the taxable amount after discount. It does not calculate tips, and this page does not say whether your city taxes cleaning.
Check the downloaded PDF for the visit date, the add-on line, and the balance. You can make 3 Basic files every 24 hours. The counter on the button shows what is left before you click.
