Landscaping invoice template
Free: 3 PDFs every 24 hours
Lawn and landscape bills go wrong when mulch, haul-away, and labor are one round number. The customer remembers the beds. You remember the dump fee. The invoice should list both. This sample is a fictional mow, mulch, and haul-away. It is not a real HOA and not a bid.
What goes on a landscaping invoice
Name the property and, if the payer is an HOA or a landlord, bill that organization rather than the neighbor who waved you in. Split the work the way you would explain it on the tailgate. Labor for mowing and edging is one line. Mulch, plants, or stone are materials, with a quantity the customer can picture: yards, bags, or each. Haul-away and dump fees are their own line when you incur them. A disposal charge hidden inside "lawn service" is the line people refuse to pay because they cannot see it.
Seasonal contracts and one-visit jobs should not share a description. If this PDF is one visit under a seasonal price, say which visit and what the seasonal price did not include. If the crew could not finish because of weather, put the finished date and the leftover work in the notes. The due date should move with the finished work only if your terms say so. Write that down. Do not assume the customer remembers the conversation in the rain.
The editor on this page is the same one as the homepage. Basic downloads are free within a rolling 24-hour allowance: 3 PDFs, then the button stops until a slot is 24 hours old. It is not a midnight reset. Professional and Modern are a different drawing of the same invoice for $4.99 once. They do not add a customer list, reminders, or online card collection.
Required fields and payment terms
You need a business name, a client name, and one priced line to download. Add the invoice number, the date the work finished, and a due date that matches the terms. "Due on completion" with a due date two weeks later is a contradiction. Pick one. Payment instructions can be a check to the business name or the transfer method you already use. A deposit collected before the mulch was delivered belongs in amount paid so the balance due is what remains.
If you charge sales tax on materials, enter that percent. The server rejects a tax rate above 50 percent instead of quietly lowering it. This page does not tell you the sales-tax rate for plants, mulch, or labor in your state. Look that up before you type a number. A license or pesticide applicator number, if you are required to show one, goes in the tax or registration ID field and prints on the PDF.
Common mistakes
Billing a yard you did not finish at the full seasonal price, with no note. Estimating mulch in the invoice after you already installed a different quantity. Forgetting the dump fee until a second invoice, which looks like a surprise. Using the homepage sample business instead of your own. Letting a long plant list get cut off. Descriptions wrap, and a long list continues on the next page. You should still read the PDF, because a wrong plant name that wrapped is still a wrong plant name.
The free allowance is 3 Basic PDFs every 24 hours, counted from each download, and the same editor enforces it on this page and on the homepage. Clearing your browser does not reset a shared-network backstop that uses a hash of the IP address. The raw IP is not stored in the quota table.
